How to Fix Resume PDF Formatting and Page Breaks
A defect-by-defect table for a PDF that looks wrong — the likely cause, the setting that actually moves it, and what to look at after you re-export.
Start with the visible problem, then change one thing at a time. An extra page, an isolated heading, and a crowded header may need different fixes. Keep the original settings noted so you can reverse a change that doesn’t help.
ExportMyResume has content editing and layout controls, but no manual page-break command. The preview helps you inspect the effect before downloading another PDF.
Choose a first adjustment
| Symptom | Possible cause | First adjustment to try | What to inspect |
|---|---|---|---|
| A second page with a few lines | Content slightly exceeds the available space | Remove a repeated line or shorten a long bullet | Page count and the last section |
| A heading alone at a page’s foot | Its following entry didn’t fit | Shorten preceding content or reduce section spacing | Heading and first entry together |
| A dense block | Long bullets or tight spacing | Shorten the bullets or increase spacing | Readability at actual size |
| Large gaps on a short page | Section spacing or a block moved by pagination | Reduce excessive section gaps; check the next page | Whether the gap shrank without crowding |
| One role spans two pages | The role is longer than the remaining space | Shorten preceding content or that role’s bullets | The new break position |
| An uneven header | Photo placement or a long contact row | Compare photo sides and contact wrapping | Name, photo, and contact details |
| Text won’t select | Image-only content or viewer restrictions | Try another viewer and check the export type | Copied text, not just appearance |
These are starting points. A setting changes more than one part of the page, and the result depends on the document.
A nearly empty second page
Look for a repeated bullet, a summary sentence that adds little, or old experience whose detail isn’t relevant to the application. Try that content edit before shrinking the whole document.
If the content is already concise, adjust line or section spacing slightly and inspect the preview. There is no fixed number of lines a step will recover. Keep the smallest text readable at actual size.
When a substantial amount spills over, use a content budget for shortening the resume. A longer document may also be appropriate when the employer permits it and the experience needs the space.
A heading separated from its first entry
If “Experience” sits at the bottom of one page and the first job begins on the next, try shortening the content above it. That may free enough room for the entry to move up with the heading.
Reducing section spacing or a page margin may also help. Check the result after each change: a whole entry can move when it crosses the available-space threshold. Cutting content above a block generally moves it earlier; it doesn’t reliably move it intact to the next page.
There is no manual page-break control in this editor. If small changes don’t help, reconsider the length of the preceding block or accept a different overall page count.
A section that feels crowded
Read the bullets themselves. One may contain several unrelated tasks that could be separated; another may repeat the summary. A three-line bullet isn’t automatically too long, but several dense bullets together can be hard to scan.
Then inspect line spacing and section spacing. If a setting is at its tightest, increase it one step and compare the page at 100% zoom. Keep the change only if the text is easier to follow without creating a worse break elsewhere.
Unexpected white space
First distinguish a wide margin from a large gap between blocks. Narrower margins make the text area wider and may reduce wrapping. That can shorten the document and leave more vertical white space, so it isn’t a general fix for an empty-looking page.
If a large gap precedes a page break, check whether a block has moved to the next page. Shortening that block may let it fit earlier. If the resume is simply short, it can remain short. Add a relevant project or qualification when it helps describe your experience, not just to fill the page.
A role split across pages
Check what the split separates. A title without any of its bullets is confusing. A long role continuing on the next page can still be readable if the sequence is clear.
Try shortening content above the role or removing repetition in its bullets. Inspect both pages after the change. A two-line reduction might pull the final bullet back; it might also move a different block. Don’t delete useful experience solely to keep every role on one page.
An uneven header
If the resume includes a photo, compare the left and right photo settings. The image occupies space that the name and contact details must share. A long email or location can change the balance too.
If no photo is present, inspect the text for unexpected line breaks and long contact items. Avoid changing all page margins to solve a problem confined to one header row.
Text selection fails
A PDF may look correct while containing a scanned or flattened image. It may also open in a viewer with selection restrictions. Try another viewer, then export a text-based file from the original document if needed.
OCR can recognize image text, but it isn’t a substitute for checking the file you will submit. Follow the PDF text and reading-order checks after creating the replacement.
Recheck the download
In Preview, Customize offers text size, line spacing, Modern or Classic typeface, section spacing, page margin, A4 or Letter paper, and photo side when applicable. Reset returns the settings to their defaults if you need a fresh comparison.
PDF and Word downloads require Pro. Free for now during the launch offer: sign in to download PDF or Word without a subscription. Plain text is also free, and signing in enables PNG without a watermark. After exporting a PDF, inspect each page break, the header, the final section, and a paragraph copied into plain text.
Check a DOCX separately in Word. Its typography and pagination differ from the PDF preview; choose the requested file format and review that actual file before sending.
