How to Create a Master Resume and Tailor It for Multiple Jobs

Keep one document holding everything, then cut two applications out of it. Naming, what stays fixed, and the change log that stops versions drifting.

Keep a master resume so that tailoring one application doesn’t erase material you need for the next. The master holds your career details and verified examples; each application version selects from that record.

It doesn’t need a fixed page count. It can be a document, a collection of structured notes, or a base resume with supporting notes alongside it. Don’t send the working notes as your application.

What to keep in the master

Store the roles, projects, qualifications, and skills you may want to use again. Include dates and specific facts such as team size or the system you worked on. Label estimates and record where a number came from.

You can keep alternative phrasings of a bullet when both are accurate. Do not leave an AI-invented claim mixed into the usable material. If a draft was rejected because it was false, delete it or place it in a clearly separated note explaining the error.

For a tool you used only briefly, write down the task and depth of experience. “Viewed a dashboard” and “built the reporting model” should not become the same undifferentiated skill entry.

Preserve facts across applications

Employer names, titles, dates, degrees, and certification status should remain accurate in every version. You can clarify or translate a title where appropriate, but don’t make a more senior title part of the tailoring.

The selection and emphasis can change: which projects appear, how much space an older role gets, which skills are prominent, and how the summary introduces the candidate. A new number or responsibility needs evidence even when it would fit the next posting well.

Two applications from one source

Priya is the fictional data analyst in the worked tailoring example. Her verified material includes SQL reports, Looker dashboards, column definitions, Git pull-request review, finance discrepancies, and marketing summaries in Excel. Data modeling and dbt experience are not established.

She is considering an analytics engineering application and a business analyst application. Her source supports different emphases without changing the underlying work:

MaterialAnalytics engineering applicationBusiness analyst application
SQL trading reportDescribe the SQL and maintained column definitionsExplain reporting for the merchandising team
Looker dashboardsInclude dashboard maintenanceName the category managers using them
Git and pull-request reviewMake the development workflow visibleInclude only if it matters to the posting
Finance discrepanciesKeep as supporting analytical workGive more space to the investigation task
Earlier marketing workKeep a compact entryInclude the campaign summaries in Excel
Unconfirmed toolingLeave dbt and warehouse-specific claims outKeep them out here too

The analytics engineering version still has gaps. Selecting technical material doesn’t turn reporting into transformation-pipeline design. The business analyst version also needs checking against its own posting; this table supplies an emphasis, not a claim that Priya meets every requirement.

Name files so you can retrieve them

Use a consistent filename such as:

Raman-Resume-AnalyticsEngineer-ExampleCo-2026-09-06.pdf

The name, role, employer, and date make the file identifiable later. Working versions inside an editor can use shorter labels such as ExampleCo — Analytics Engineer. Keep the exact submitted file, even if you later improve the wording in your master.

For repeated applications to the same employer, add the job identifier when needed. Avoid ambiguous names such as final-final-2.

Keep a short change log

Store the log in a separate note or at the bottom of the working master, outside the content you export:

2026-09-02 Analytics engineering version
Added Git and pull-request review after checking the workflow.
Added maintained column definitions to the SQL report bullet.
Left out dbt and data modeling: no supporting experience.
Kept the marketing assistant role as a compact entry.

2026-09-04 Business analyst version
  Restored the Excel campaign-summary bullet.
Gave finance discrepancies and the trading report more space.
  Kept titles and dates unchanged.

The log records why a change was made. A rejected term can be reconsidered later if you gain relevant experience; an old decision isn’t a permanent rule.

Correct the source, then the active versions

When you discover a wrong date or employer spelling, fix the master and each version still in use. The editor’s copies don’t become accurate automatically because one copy changed. A stylistic improvement can be adopted selectively, but a factual correction needs to reach every current application document.

Before sending, check the summary and filename against the posting. Archive the submitted file with the application record so you can see exactly what the employer received.

Using ExportMyResume versions

The version switcher sits above the resume. Multiple saved versions require Pro. Free for now during the launch offer: keep multiple versions in the editor without an account or subscription. Sign in if you want those versions to sync to your account. A base version can hold the broader structured resume, with application versions derived from it. Keep research notes, change logs, and alternative bullet drafts in a separate document; the editor’s base resume isn’t a free-form notebook.

A tailored version can retain the pasted job description and optional job URL. When you run AI, the resume and pasted posting text are sent for processing; the optional URL is a bookmark, not a page the model fetches. AI runs require sign-in and have daily limits, with more runs on Pro.

You can also keep the master in a separate document or text file and copy the relevant material into the editor for each application. For discipline-specific source notes, connect engineering terms or product management terms to projects you’ve actually done.

Each version can be exported. PDF, Word, and PNG without a watermark are free after sign-in during the launch offer; plain text and JSON backups are free without an account. Choose the format the employer accepts, open the file, and retain that checked copy with the application record.
